Chief Finance Officer’s Directorate
Supports the Mayor’s Office and wider GLA on a variety of different aspects: from managing daily financial decisions to setting long-term objectives; budget setting; and observing and recognising projects and opportunities in the market that may be worthy of development or investment.
About the team
The Group Finance and Performance team is responsible of consolidating the budgets and performance monitoring of all bodies within the GLA Group, this includes the Met Police, the London Fire Brigade and the GLA themselves, plus other smaller bodies.
We are a small, but busy and high performing team. Our activity is at the heart of the Mayor’s agenda with an overview of the activities and priorities across his entire range of responsibilities.
About the role
This junior role will report to a senior EA and support them in their role supporting the Directors of Group Finance and Financial Services in all EA and business support functions. It is an excellent opportunity for an ambitious new entrant seeking an opportunity to develop fast.
The role provides comprehensive high‑level personal assistant support to the Directors of Group Finance and Financial Services, acting as a gatekeeper and ensuring the effective operation of their responsibilities. It requires building productive working relationships across the GLA Group, London boroughs, government bodies and external stakeholders.
Key duties include managing the Director’s diaries and monitoring their inboxes, preparing papers before and after meetings, and maintaining effective information and data systems.
Additional responsibilities include coordinating and attending meetings, producing agendas and reports, taking senior‑level minutes and tracking actions.
What your day will look like
Junior EA
· Monitoring the Director’s inbox and flagging emails which require urgent action.
· Managing the Director’s diary scheduling meetings, booking rooms, resolving conflicts and acting as gatekeeper for meeting requests.
· Ensuring the Director’s are aware of actions required of them.
· Monitoring correspondence received by the teams and ensuring replies are issued in a timely and efficient manner.
· Producing agendas, minutes and read outs from meetings and ensuring actions are followed up.
Skills, knowledge and experience
To be considered for the role you must meet the following essential criteria:
Junior EA
· Good organisational and time management skills.
· Good attention to detail, problem-solving skills and the confidence to ask questions.
· Good verbal and written communication skills.
· Shows initiative, a willingness to try new things and to learn.
· Ability to work well with others and build good working relationships.
· Competence in the operation of standard office information and communications technology applications with an emphasis on Microsoft Office packages including advanced MS Word and Outlook and intermediate Excel and PowerPoint.
